Management & Administrative Services

Our licensed Community Association Managers will lead our team of specialists to deliver professional and experienced management and administrative services.

Our Managers and Administrative Teams will:

  • Guide and assist the board of directors in making important decisions for your community.
  • Prepare manager’s reports that keep you up to date with activities of the association.
  • Prepare and conduct board meetings by helping you prepare agendas, post notices, conduct meetings, and prepare minutes of all board meetings.
  • Manage and enforce covenant restrictions according to the policies and procedures outlined by the governing documents, Florida statutes and policies of the board of directors.
  • Manage maintenance requests in coordination with association policies and in a timely manner.
  • Supervise onsite employees if the association has employees or management staff working onsite.  Our managers will implement supervision procedures to ensure productivity.
  • Inspect common property routinely to ensure the association is maintaining its obligations to manage common property.
  • Manage vendor relationships by working with your vendors to ensure that they deliver on the terms and conditions of their agreements with the association.  Our managers will assist the board directors with finding qualified vendors when necessary.
  • Manage association communications by preparing all compliant mailing for the association which includes budget notices, annual meeting notices, and other required notices for the association.
  • Manage official association records by organizing and managing all your association records in digital format when possible.
  • Process and mail correspondence using our staff in-house or with third party fulfilment facilities.

Accounting & Financial Services

Our team of accounting and financial specialists will deliver professional and experienced accounting and financial management services.

Our team of financial specialists will:

  • Prepare annual budget and
  • Facilitate budget workshops in coordination with your manager and board of director.
  • Collect maintenance assessments by providing statements or coupon books and post all fees and fines in a timely manner.
  • Manage delinquency notifications and coordinate collection activities with the association’s collection agency or attorney.
  • Process estoppel requests and rental applications according to the association’s governing documents and polices developed by the board of directors.
  • Disburse funds for association expenses after receiving approval from the board of directors.
  • Maintain bank accounts and make recommendations on how to handle reserve accounts.
  • Prepare and distribute financials on a regular basis and prior to meetings of the board of directors.
  • Communicate and coordinate insurance concerns with your insurance broker, agent or company.

Our team of trained and dedicated Customer Service Representatives are available to handle call and email inquiries; and, if necessary, assign service requests to our service support team.

Our Customer Service Representatives are available during business hours each weekday. 
All calls and emails are logged into our tracking system and handled in a timely manner.

  • Emergency Call Center
After business hours, our on-call Manager will handle emergency calls through our partnership with a third-party call center. Our team of managers are on-call every day of year.

  • Homeowner Web Portals
We provide all owners with their own personal web portal where they can update personal information, find information and documents about the community. Homeowners can access their payment history and communicate with management for service requests and other inquiries.
